What information do we collect from you?
Our primary goal in collecting information from you is to provide you with an efficient, helpful experience while using our website and online communications. To do so, our website collects two types of information about you: personal information vs. non-personal information. Personal Information is information that lets us know the specifics of who you are. It can be used to identify, contact or locate you. We may also collect and use personal information to verify your identity in connection with your use of our website. Examples of personal information includes, but is not limited to, your first and last name, your credit card number, your mailing address and/or email address, and your phone number. Generally, we collect personal information when you use the website, become a registered user or Member or otherwise volunteer information about yourself. Non-Personal Information is information that does not by itself identify you or a specific individual. Examples of non-personal information that we may collect include, but are not limited to, demographic information and Woman Within web pages that you visited most often. We may collect non-personal information through registration as discussed above and automatically, through use of industry-standard technologies discussed further below.
What about the information that you provide to us?
You will have the opportunity to provide us with personal information and non-personal information which we will collect directly from you as follows:
a) Profile and Form Registration. To use certain portions of the website, users will be required to register with the website. To complete the registration process, we require that each woman provide certain data, which must include a user name, password, email address, the user’s first and last names, and city, and may include phone numbers, addresses, age, birth date, and occupation (collectively, the “Member Profile”). We also may collect additional information in connection with your registration, including but not limited to the referring URL and IP address. Users are responsible for maintaining the truth, accuracy, currency and completeness of their Member Profile.
b) For Prospective Members. For visitors who register to participate in a Woman Within Weekend (“Prospective Members”), we collect your first and last name, address, age, date of birth, phone number, and an email address. We also may collect additional information in connection with your Weekend registration, including but not limited to the referring URL and IP address.
d) Donations or Online Payments. If you submit any online donations or purchase any products or services available through the website or online communications, you will be required to provide financial information, such as your credit card number and expiration date. This information is used for billing purposes and to fulfill your donation or order. If we have trouble processing a payment submitted via the website, we will use your Personal Information to get in touch with you. To properly process your credit card information, we must share your personal and financial information with the merchant bank for authorization and approval.
e) Public Communications Features. From time to time, you may be able to participate in certain activities on the website or online communications, such as posting reviews, user opinions, participating in user forms, chat rooms and/or bulletin boards that give you the opportunity to communicate or share information, not just with Woman Within Western USA, but with other users of the website and online communications (altogether, “Public Communications Features.”) Be aware that when you volunteer information or create a public profile in the course of your participation in our Public Communications Features, you are also agreeing to allow certain aspects of your Personal Information to be made public. This includes your username and any Personal Information or images that you add to your signature, or that you include in any upload or posting by you when using such Public Communications Features. You acknowledge and agree that Woman Within Western USA does not review, censor, or in any manner control the content of these Public Communications Features. Consequently, Woman Within Western USA has no liability or responsibility for information made available through these Public Communications Features and you will be liable to Woman Within UK for any liability that we incur as a result of any information submitted by you in or through the Public Communications Features.
Information Collected Through Technology. We or our third party service providers may collect information from visitors or registered users regarding the referring URL, your IP address, the browser you used to come to the website or online communications, information regarding your domain server, the country, state and telephone area code where your server is located, your type of computer, time-stamp data and the pages of the website or online communications that you viewed during your visit. Some of this information is gathered through the following technologies:
g) IP Address. You can visit many areas of the website anonymously without the need to become a registered user. Even in such cases, we may collect IP addresses automatically. An IP Address is a number that is automatically assigned to your computer whenever you begin service with an Internet Service Provider. Each time you access the website and each time you request one of our pages, our server logs your IP address. Standing alone, your IP address is not necessarily personally identifiable, but may constitute Personal Information (and will be treated as such by Woman Within Western USA) if linked to your other Personal Information submitted via the website.
h) Web Beacons. We may use a variety of other technical methods for tracking purposes, including Web Beacons. Web Beacons are small pieces of data embedded in web pages and emails. We may use these technical methods in HTML emails that we send our users to determine whether they have opened those emails and/or clicked on links in those emails. The information from use of these technical methods may be collected in a form that is personally identifiable.
Access and Change to or Deletion of Personal Information. As a registered user, you can view and modify the Personal Information you have included in your Member Profile by logging in and accessing your account. Upon your request, we will use commercially reasonable efforts to delete your account and the Personal Information in your Member Profile. However, we reserve the right to maintain a confidential record of your attendance at the Woman Within Weekend and your contact information in a separate account which will not be accessible by the general membership. Members who wish to close their account should contact email@example.com.
What about the use and disclosure of personal information?
Use of Personal Information and Non-Personal Information. We use Personal Information and Non-Personal Information in order to verify your identity for your protection, to communicate with you about your use of the website, online communications and list serves and to send you information that you request (for example, related to trainings and community events.) We may also use this information to contact you for fundraising purposes or, on rare occasions, to provide you with information that we believe will be particularly valuable for our Members. In addition, we may use Personal Information and Non-Personal Information to learn more about our community so that we can improve our website’s features, services, promotions and events. Specific examples of how we may use your information that we collect include, but are not limited to:
i) System Administration. We may use your IP Address and other information discussed above in Section 1.3 for the purposes of system administration, to assist in diagnosing problems with our server, to monitor our system performance and the level of activity on the website in general and about specific portions of our website and how the traffic on our website is apportioned and from where it may come, and to gather broad demographic information about our website’s visitors and customers, so we can make it easier and more convenient for you to navigate and use the website, and make our website more useful and better targeted for you and our community in general.
k) Notices to Confirm Registered Users. We may use your Personal Information to send one or more emails regarding your registration, including confirmation to verify the accuracy of the Member Profile and instructions regarding how to use the website or online communications.
l) Contacting Prospective Members. If you are a Prospective Member, we may use your Personal Information to contact you regarding your registration in the Woman Within Weekend or Woman Within Circle.
m) Informational and Promotional Emails; Opt-Out Option. We may use your email address to send you emails listing promotions, events and/or services, other items related to our website, online communications or other marketing and advertising. However, you have the choice to opt-out of receiving such promotional/advertising by contacting us at firstname.lastname@example.org and/or by following the instructions at the bottom of our promotional email. Once we have processed your opt-out request, we will not send you promotional/advertising emails unless you opt back in to receiving such communications directly.
o) Contact Information. If you contact us by telephone, email or letter, we may keep a record of your contact information, correspondence or comments. If you report a problem with the website or online communications, we may collect this information in a file specific to you. In addition, if you provide us Feedback through the website, online communications, by email or by calling us, we may ask for your name and email address in order to send you a reply. You may contact us at email@example.com to request the removal of this information from our database, subject to section 1.4.
What about the disclosure of personal information?
q) Member Use. Member Profiles submitted by registered users are fully disclosed to all other registered users. A registered user’s Member Profile may include the user’s first and last names, email address, phone numbers, address, age, date of birth, occupation, and other information. As a registered user, you can view and modify your Member Profile, to include or exclude any category of information, by logging in and accessing your account.
s) Links to Other Websites. Our website and online communications may contain links to third party websites to which we have no affiliation. We do not share your Personal Information with those websites and are not responsible for their privacy practices. We suggest you read the privacy policies on those third party websites.
What if I live outside the area?
What about opting out?
Fundraising and Promotional Mailings and Phone Calls. We may send you mailings or call you for fundraising purposes or, on rare occasions, to provide you with information we believe will be particularly valuable for our Members. You may “opt out” of this type of contact at firstname.lastname@example.org or by informing the person who calls you during a Woman Within UK fundraising campaign. Once we have processed your opt-out request, we will not contact you in this way unless you opt back in to receiving such communications directly.
Promotional Emails. We may, from time to time, send you email regarding current promotions, new services, advertising or other marketing, or additions to the websites. You may “opt out” or unsubscribe from such non-registration-related emails at email@example.com and/or by following the instructions at the bottom of our promotional email.

How do I safeguard my personal information?
Our Security Measures. We use a variety of security measures to protect against unauthorized access to or unauthorized alteration, disclosure or destruction of data. These include internal reviews of our data collection, storage and processing practices and security measures, as well as physical security measures to guard against unauthorized access to systems where we store Personal Information. We restrict access to Personal Information to employees, contractors, and agents who need to know that information in order to operate, develop, or improve our services. Credit card transactions are handled by established third-party banking institutions and process agents. These third parties directly receive the information they need to verify and authorize your credit card transactions. Woman Within Western USA never has access to this credit card payment information. When collecting credit card information, these third parties offer secured server transactions that encrypt your information in transit to prevent someone from intercepting it and misusing it. All information collected from you is retained on a secure server. Although we use reasonable efforts to safeguard the security of your Personal Information, transmissions made on or through the internet are vulnerable to attack and cannot be guaranteed to be secure. You hereby acknowledge that Woman Within Western USA is not responsible for any intercepted information sent via the internet, and you hereby release us from any and all claims arising out of or related to the use of intercepted information in any unauthorized manner.
Protecting Yourself. We make various public forums (such as message boards, blogs, newsletters or news groups) available to our users. When you disclose Personal Information in such public forums, that information can be collected and used by others in various ways, including by sending unsolicited messages. You are solely responsible for any postings you make in public forums on the Woman Within Western USA website or online communications. You are solely responsible for safeguarding and maintaining the secrecy of your user name, passwords and/or any account information in your possession or control. Please be careful and responsible whenever you are online. The website and online communications contain links to third parties who may collect information directly from you. Each of the websites linked from the website have separate privacy policies and data collection practices, independent of Woman Within Western USA and we have no responsibility or liability for these independent policies or actions and are not responsible for the privacy practices or the content of such websites nor do we make any warranties or representations about the contents, products or services offered on such websites or the security of any information you provide to them. You can learn more about internet privacy from government websites. In addition, it is important to keep us updated with your most current contact information. You may ask us in writing via email at email@example.com. to have the information on your account deleted, updated or corrected however, because we keep track of past user account activity, you cannot delete information associated with past user activity. Note that we may retain changed or deleted information for archival or other purposes.
What other general information about privacy do I need to know about?
Children, Parental Consent Policy. The Children’s Online Privacy Protection Act imposes certain requirements on websites directed toward children under 13 that collect information on those children, or on websites that know they are collecting Personal Information from children under the age of 13. We want to let you know that it currently is our policy not to collect Personal Information from any person under 13 because children are not permitted to use the website or services on the website, and we request that children under the age of 13 not submit any Personal Information to us via the website or online communications. If we learn that we have inadvertently gathered Personal Information from children under 13, we will attempt to notify such child’s parent or guardian and erase such information from our records.
